ScienceWriters2023 has something for everyone. Virtual events began on September 26, and we will convene in person in Colorado, October 6-10. Unfortunately, no late or onsite registration is available. Events are full.
  • All registration is handled securely online.
  • Registration begins August 1 and closes on September 26 at 11:59PM Mountain time or when capacity is reached.
  • Registration includes access to session videos and community networking features for three months post-conference via Whova.
  • In some cases, a portion of the registration fee is refundable. See Cancellation Policy below for details.
  • You may register for Virtual or Virtual and In-person portions of the meeting. If your plans change, you can edit your registration during the registration period to add events, space-permitting.

Within 24 hours of completing your registration, you can join other attendees on the Whova app. Whova is our virtual conference center and can be accessed via the Whova app or the web. Instructions will be sent in your confirmation email. Please make a note of the email address with which you used to register for our conference. This same email address will be added our Whova permission list for this event site. If you use any other email address to log into Whova, you may receive an error message.

With Whova, you can see who’s coming, view the program, connect with speakers and attendees, set personal meetings, start your own discussion groups, and more. Once the conference starts, you will “enter” every virtual session by connecting from Whova. After the conference, attendees can use Whova to access recorded sessions and network for up to 3 months.

Cancellation policy

We hope that the hybrid format of this year's ScienceWriters and the access to archived videos for many virtual sessions (available 3 months post-event for registrants) makes it unlikely that you will need to cancel your participation entirely.

Should you need to cancel one or more parts of your registration, either use the link on your confirmation email or send an email to workshops@nasw.org with "Cancellation" in the subject line.

If your cancellation request is received by September 26, you will receive a full refund less a $25 processing fee. No refunds can be made once conference events begin on October 6, with the exception of health-related cancellations for the in-person portion. Such health-related cancellations made outside the cancellation period will be refunded the in-person portion of the registration fee.

Non-attendance does not constitute cancellation. Registrations are not transferable to another person.

Attendees should not travel if they are sick, have been exposed to anyone with a documented or suspected case of COVID-19 within 10 days, or exhibit any symptoms of COVID-19.

Registration troubleshooting

Was a trip or tour you wanted full? The host will be managing any openings onsite via the conference check-in desk so be sure to ask when you arrive onsite.

For anyone experiencing credit card transaction errors, we recommend attempting the following adjustments. In general, we also recommending trying different browsers or networks, if experiencing issues.

  • Issuing bank refusing the transaction: It's possible the transaction is not going through because of a a CVV or ZIP code mismatch. Repeated errors occur when the browser "remembers" the incorrect info or even after a CVV was corrected. Likewise, check with the issuing bank to see if your card has been flagged.

  • Selecting a waitlist option: Purchasing cards have been running into this issue. One workaround is to remove any waitlisted choices in registration and proceeding to payment. Stay tuned for waitlist options onsite in Boulder at the registration desk.

  • Federal government / secure network users: Some transactions may not be going through because of network issues. We recommend trying to register through your mobile browser or non-workplace internet connection, if experiencing issues.

For all registrants: Please make sure you write down which email address you are using to register (e.g. work email, personal email). This is important, since registration confirmation and receipt is sent to the email address entered. Likewise, that same email address is also assigned access permission for our Whova conference app. Thus, when registering, please take care not to mix up your personal or work emails.

For all registrants: Please keep in mind that when registering, you will be asked to commit to either Boulder or Anschutz participation for Sunday, Oct. 8, so we can plan transportation accordingly. Not sure whether to commit to #AnschutzSunday or to staying in Boulder? Open our conference schedule (https://sciencewriters2023.org/schedule) and filter for "Anschutz Campus" or "Boulder Campus" sessions to view their respective Sunday offerings. (Buses will only run between Boulder and Anschutz first thing Sunday and end of day Sunday.)
